Botanica can be accessed 24 hours a day, 7 days a week for your convenience. We are staffed from 8:30am to 5:30pm Monday to Thursday, closing at 5:00pm on Fridays. Link Spaces is closed on Bank Holidays.
Each member of staff will be allocated an access card for the site which will give them 24 hour access via the main entrance of the building. Each card is assigned electronically to each individual tenant, by name and company. Do not swap cards amongst your colleagues and under no circumstances should this card be given to another person without prior consent of the Centre Team. Should this be done, the building management reserve the right to terminate the access pass.
Building access cards will be issued free of charge to new members of staff. Any lost, damaged or unreturned cards will incur a £15.00 + VAT charge.
FOBS
We can provide fobs for Link Spaces entrances and your office suite (if applicable) at a one-off cost of £15.00 + VAT/fob.

Link Spaces at Botanica has 2 breakout spaces and a Meal Prep room providing:
- Complimentary teas and coffees
- Milk and an alternative milk
- Billi Taps – these taps provide coffee, hot, cold and sparkling water
- Mugs, glasses, cutlery & crockery
- Kettle and Microwave
To help maintain a clean environment please ensure that no expired food is left in the fridge and please be sure to put your used mugs, glasses and crockery in the dishwashers provided.
The Link Spaces Team will dispose of any perishable items every Friday at 5pm.
We ask that you do not bring your own electrical goods to use in the Prep Kitchen. All electronics require PAT testing.
If you have purchased a parking space at Botanica, you must ensure you park in the designated spaces as shown on the plan below. Repeat offences for parking in bays that aren’t assigned to us may result in your parking access being terminated.

Bike racks can be found adjacent to the member carpark outside the North side of the building and next to the dog agility park. Bicycles will be left here at the owners own risk.
Non-folding bicycles are not allowed in the venue unless permission is granted from the Centre Manager.

BUILDING OPERATIONS & COMFORT
Practical details to help you keep your workspace comfortable, tidy, and ready for productivity.
If you have an individual control in your office, the Air-Conditioning is programmed on a default which runs from 07:00 – 19:00 during the working week and programmed not to run over the weekend and out of hours to reserve energy.
The office suites with external windows and the coworking area have electronic blinds which can be controlled via a switch on the wall or window frame.
Unless previously agreed with the Centre Manager, no items are to be blue tacked, screwed, pinned or stuck to the walls. We are able to organise a contractor to install any picture frames, whiteboards or televisions with cabling.
If you would like assistance with this, please contact the Centre Manager to discuss your requirements so we can arrange quotations for the works.
Please remember that the space must be left in the same condition as it was found on your start date. All reinstatement works need to be actioned by the end date of your agreement or Link Spaces reserves the right to charge additional licence fees.
Your office and the communal areas are cleaned every weekday evening by our dedicated cleaning team. They start work at 6:00pm and work through the evening. Within your space they will empty office bins, vacuum the floor and wipe down clear desks. Our cleaners are under instruction not to touch or move any of your effects, therefore we must operate a clear desk policy. If you would like your desk to be wiped down, please ensure that you have cleared it before you leave.
Used crockery and cutlery must be placed in the dishwasher by you.
If you place rubbish by the bins, this must be clearly labelled with ‘Rubbish’ in order for the cleaners to take it away. All boxes must be collapsed. Not referring to office bins and general daily waste, refuse is the responsibility of the client, i.e. packing boxes, large numbers of old magazines, etc. These items must not be stored in common parts of the venue. If items are found in the common parts of the building they will be disposed of.
Accidents happen! If any food or drink is spilt in your Suite, Meeting Room or common space, please advise a member of the Centre Team.
We also have an afternoon team who arrive at 12:30pm and keep the communal areas tidy during lunchtime. This cleaner will not be going into your offices.
SAFTEY & SECURITY
Your wellbeing is our priority. This section outlines key safety measures and building security information.
Security is of paramount importance in our Centres and to our clients, therefore we request that you adhere to the following procedures at all times to ensure that the building is kept secure for the safety of your own and other tenants’ staff and property.
- When leaving your office unattended please ensure that your office door is locked behind you. When leaving the centre please make sure all doors are locked behind you.
- Access cards that are missing, lost or stolen must be reported to the Centre Team immediately.
- All visitors must report to Botanica Reception where they will be asked to sign on the iPad. These visitors must also report to the Link Spaces reception and sign in the visitors book. Our team can then inform the relevant person that their visitor has arrived, and they will be asked to collect them from the Reception area.
- Please be aware of tailgating in and out of office hours.
- If you see any suspicious persons or behaviour, please do not hesitate to report this to the Centre Team.
We have remote monitored CCTV throughout the building.
Improper use of Fire or Emergency call points will result in a £1000 fine + Call Out Fee if incurred.
Every Tuesday morning at around 11am the fire alarm will be tested by the Building Management. The alarm will sound for a few seconds. There is no need to evacuate the building at this time. If you cannot hear the alarm or if it is faint, please report this to the Centre Manager.
We ask that each company appoints at least 1 Fire Warden to ensure that all members of staff are present at the Assembly Point and that all staff are familiar with the fire procedures and escape routes. Offices above 10 employees will need to appoint a minimum of 2 Fire Wardens.
By law we have to conduct full building evacuations which we do bi-annually. We ask that you and your team ensure that you exit the building swiftly and calmly upon hearing the fire alarm sound (outside of our normal weekly test).
FIRE ACTION
In the event of a fire:
- Operate nearest fire alarm
- Evacuate the building immediately
- Proceed to your designated assembly point (see plan below)
- Fire Warden to report to a member of Centre staff once outside
On hearing the fire alarm:

Means of Detection and Warning
Botanica is fitted with a fire alarm system. This includes smoke detection, alarm and break glass provision. The system has been installed to meet the requirements of the fire officer and the issue of the building fire certificate.
The alarm system is checked on a weekly basis by the Building Management Team. A full annual test is carried out under the planned maintenance contracts by a competent service engineer.
All doors, signage and emergency lighting is checked regularly by the Building Management Team and shortfalls reported to the Building Manager for action.

Means of Escape and Evacuation Plan
All escape routes are adequately signed and checked on a regular basis by the Centre Team. All escape routes are to be clear of any obstructions. Escape routes are clearly communicated in public areas.
The evacuation plan for the centre is tested annually and recorded with issues or shortfalls identified. A Fire Warden system is in place in line with our Health and Safety policy and procedures with Suki Thandi, Magdalena Tarnawska, and Alice Thorley being the Fire Wardens for Link Spaces.
All offices should evacuate the building and head to the Link Spaces evacuation point (please see image). Once your office is out and accounted for a member of your team will need to report to one of the Link Spaces Fire Wardens. Please be quick and thorough with this so we can confirm you are safe.
Fire Fighting Equipment
Fire extinguishers are provided in all public areas. These are checked on an annual basis by a competent engineer and replaced as necessary. Fire extinguishers are located at every emergency exit and call point. Regular visual checks are made by the Centre Team to identify instances of tampering or misuse.
All clients are responsible for having someone appointed to take charge of first aid in their workspace. Every employer in the UK, regardless of the size of the company, is legally obliged to plan for the provision of first aid at work.
Employers must make sure that someone is always available to give or arrange first aid. This applies if the designated first aider is absent for any reason. First aiders must have a valid first aid training certificate.
It is not a legal requirement that all employers have a fully trained first aider, but someone must be appointed to take charge of first aid in the workplace.
If you have a qualified First Aider, please inform the Centre Team and should they leave the company please let us know their replacement.
There is a First Aid kit available at Link Spaces reception and with the Botanica reception.
If there are any accidents in the centre, they should be reported to the Centre Team straight away and will be recorded in an accident book.
If it is necessary that an ambulance must be called, you must inform the Centre Team who will inform the Building Team. Botanica also has four defibrillators on site. The nearest one to Link Spaces is located next to the lifts. This must only be used by someone who is trained to use one.
We do not allow clients to bring into the building any hazardous substances that require COSHH (Control of Substances Hazardous to Health). If you are unsure please speak to the building Centre Manager.
POLICIES & ETIQUETTE

Link Spaces recognises the right of all staff and clients to work in a smoke free environment and operates a policy of no smoking within the building,
Link Spaces wishes to create a high quality, healthy, and safe working environment for staff, clients and visitors. It must, therefore, ensure that everyone is protected from the dangers of smoke in work and rest areas.
The policy applies to all staff, clients, visitors and contractors. You may smoke outside of the building in the designated smoking area which is located in the car park towards the South side of the building.

We recognise that dogs can be a valued and important part of employees lives and their ability to bring a dog into their workplace may enhance the quality of their work life.
Keeping dogs in the workplace, however, must be considered a privilege and as such, requires complete responsibility on the part of the owners. Dog owners should be aware that not all employees or visitors like dogs, and in some cases people with allergies cannot tolerate being in close proximity to animals.
To be respectful of all occupiers at Botanica and Link Spaces, the following policy will apply;
Botanica Site Dog Policy
- Bringing a dog to work is to be considered a temporary arrangement rather than an everyday occurrence (unless previously agreed between occupier and landlord legal teams). Botanica Ditton Park occupiers should not plan to “raise” or keep their dogs at work.
- All dogs must be supervised and cannot be left in Botanica Ditton Park facilities overnight or while the owner is not present. Dogs should not be unattended at any time. Dogs should be kept in an employee’s office, and they are expected to be on leashes at all times; exceptions would be if the dog is contained in an office/cube area. Dogs should not be running around unattended. Dogs are not allowed to wander the floors unescorted and should not be left unattended or tied up next to major thoroughfares. Do not leave your dog tied to anything for a long period of time (more than 30 minutes).
- Dogs are not allowed in the bathrooms, gym, restaurant, reception, or any other communal areas. This includes the shuttle bus which is considered a communal area.
- Keep dogs away from common area meetings such as seminars, outside events, etc. Also, keep them away from small meetings unless you have direct, clear approval from each of the attendees that it is OK to bring your dog.
- Dog owners must access the building via their own separate entrance, not via the communal entrances. If you do not have a separate entrance to your domain, please discuss options with the Building Manager.
- Dogs will be dogs, but the caretakers need to be responsible pet owners. Pet owners are responsible for ensuring any dog fouling is picked up and placed in the appropriate dog bin located by the dog agility park. It is not acceptable to leave dog fouling for the landscaping team to remove. If a pet has an indoor “accident”, they will be asked to go home and not return. Pet owners are financially responsible for any damage or cleaning to Botanica Ditton Park facilities, this includes damage from accidents, excessive pet hair and odour removal.
- The Botanica Ditton Park team take great care in creating and maintaining the quality landscaped parkland environment for the benefit of the estate occupiers, whilst we anticipate responsible dog owners will walk their dogs on leads it will not be considered acceptable for dogs to run free on the lawn.
- Dogs with evidence of fleas will be asked to go home until the problem has been alleviated.
- Dogs must be properly licensed and vaccinated and owners must maintain adequate liability insurance against dog mishaps. We reserve the right to request evidence of such at any time.
- Botanica Ditton Park assumes no responsibility for any pet.
Link Spaces Dog Policy
- Dog owners need to check with their manager, team members and neighbours PRIOR to bringing the pet to work to ensure no one near them has concerns or allergies. Employees with allergic reactions to dogs may ask the owner to refrain from bringing the dog to work. If someone has a dog allergy, the dog will not be permitted into the office space unless they can be kept a safe distance from the employee.
- Some occupiers may not be comfortable with, or could be scared of dogs, regardless of how well trained or mellow the dogs are – please be mindful of this. Aggressive behaviour, such as growling, barking, chasing, or biting, is unacceptable and the pet will have to be taken home with the first complaint. Any incidents and the dog will not be permitted to return.
- Any behaviour which interferes with another employee’s ability to work, will be cause for a pet to be taken home (interference is in the eye of the beholder). An example might be excessive odours from the dog or excessive noise.
- Dogs are not allowed to wander the corridors or communal areas without supervision. They are allowed to sit in the Break Out Spaces and the coworking areas as long as they are on leads or carried.
- Dogs must be kept on leads when walking through the communal areas, this includes toilets, reception, kitchen areas, and corridors. Only in offices may they be off-lead but only with the comfort and permission of all colleagues in the office space.
- Dogs with evidence of fleas will be asked to go home until the problem has been alleviated.
- Dogs must be properly licensed and vaccinated, and owners must maintain adequate liability insurance against dog mishaps.
- Link Spaces assumes no responsibility for any pet.
- All visitors must give the company name of the company they are visiting to security before entering the car park.
- All visitors must report to Link Spaces reception and sign in and out in the visitors book located on the reception desk.
- If you are expecting a number of visitors on the day, please advise the Link Spaces Centre Team with a list of delegates and the times you are expecting them.
- Please advise your visitor to park in the visitors car park.
- The Centre Team will contact you on the phone number we have on file.
- We will invite the visitor to have a seat in reception. Please collect your visitors at your earliest convenience.
- If you have booked a meeting room, please let the Centre Team know if you would like your visitors taken straight there.
- If your visitor arrives out of hours, it is the members responsibility to ensure the visitor is collected from the car park and upon departure that they leave the building & venue.
- No visitor must be left unaccompanied at any time.
- Please make sure your visitor is aware of the health and safety guidelines for the building, including the fire evacuation point.
- No visitors should be sat in the dedicated desk space, this is for those who have paid for a desk only.
- Please be respectful of other members in the centre and keep noise to a minimum when you are in the communal spaces.
- You are welcome to bring up to two visitors into the shared areas for up to two hours. If you have more than two visitors, please book a meeting room.

MAIL & ADVERTISING
Handling your correspondence and keeping you connected within the Link Spaces community.
Incoming Post
When the daily post arrives, it will be sorted and delivered to your office. For coworking members, we will store this safely and notify you by email so you can collect at your convenience.
Outgoing Post
We can process/handle outgoing post for your company (Royal Mail costs + 20% handling fee).
Couriers & Signed for Deliveries
In the interest of security, we ask that you do not encourage couriers to come up to your office. Please inform us how you would like us to proceed with accepting deliveries. Reception can either contact you and you may sign for your deliveries when they arrive, or the Centre Team will sign on your behalf and you will be notified of a delivery straight away. All items signed for at Reception will require a signature from a member of your company before the item is released.
We have an A4/A3 printer/copier available for use.

Please email botanica@linkspaces.co.uk if you would like to use this service. We will set up an account for you and once complete, you will receive an email with login credentials and link to download the printer client software.
We are providing a service, showcasing your company on the internal screens in the Link Spaces communal areas and reception only. These spaces can be accessed by all members of Link Spaces including tenants, and visitors.

1 “Advertisement” means the matter that is to be produced on the screens throughout the Link Spaces centre.
1.2 “Advertiser” means the person, firm or company who wishes the publisher to publish an advertisement.
1.3 “Copy” means the product that the Advertiser wishes to use as their Advertisement. This will be an image, video or physical item.
1.4 “the publisher” means Link Spaces being the publisher of the advert on the Link Spaces screens. - Advertisements are accepted subject to the Publisher’s approval of the copy and space being available.
- The Publisher will not be liable for any loss of copy, artwork, photographs or other materials which the Advertiser warrants that it has retained in sufficient quality and quantity for whatever purpose.
- The Advertiser must provide Copy for the Publisher to use.
- The Advertiser agrees to adhere to the following legal conditions:

5.1 An accurate description of the product or service is provided in the Advertisement
5.2 The Advertisement is Legal in its information convening with the laws of the land
5.3 The Advertisement is truthful and honest with no false or misleading content
5.4 The Advertisement is socially responsible (not encouraging illegal, unsafe or anti-social behaviour or discrimination)
- No Advertisements will conflict with Link Spaces core values and will not bring advertising or Link Spaces into disrepute.
- No Advertisement will be in competition with Link Spaces
- Any information included in the Advertisement is given at the Advertisers own discretion and own risk.
- The Publisher will not sell your information to any third part user and will send any interest generated from your Advertisement to the Advertiser via the contact provided.
- The promotion of any product or service via the Advertisement should not be seen as any official endorsement or recommendation but Link Spaces or the Link Spaces team.
- The Advertisement should be of good quality, clear and concise. The Publisher has the right to not include your advert should the images or writing be unclear, pixellated or blurred.
- If a violation is found at any point of the review process, the Advertisement will be rejected.
- Ads remain subject to review and re-review at all times, and may be rejected or restricted at any time. It is your responsibility to understand and comply with our policies.
- Should the Advertiser wish to have their Advertisement removed, they will need to submit a written request for the removal and the Publisher will do so with immediate effect.
This policy is subject to reviews and amendments to reflect changes in legal requirements and industry best practices.
EXIT PROCESS
When it’s time to move on, we’ve made the exit process simple and transparent to ensure a smooth transition.
The office must be returned in the same condition as when the tenancy began. This includes:
- Walls free from damage, marks, or fixtures
- Carpets clean and undamaged
- All furniture (if provided) in the same condition from when the licence agreement initially started
- Attempts to redecorate that do not meet our standards will require redecoration and may increase deductions
Our maintenance team can redecorate if required. If you would like this service, please advise and we can provide a quotation.
All keys, access fobs, and any security passes must be returned on or before the final day of occupancy.
A £15 + VAT charge per missing item will be invoiced.
An exit Inventory will be conducted to assess the condition of the suite which will be signed by both parties.
This normally takes place on the last day of the term. If you require a different date, please advise the Centre Manager.
Charges may apply if:
- The office is not restored to its original condition
- There is damage to fixtures, furniture, or flooring
- Cleaning or redecoration is required
- Keys/fobs are missing or not returned
Deposits will be returned within 14 days of:
- Completion of any necessary redecoration or repairs
- Receipt of all outstanding invoices
- Bank details provided
- Keys/fobs/access cards returned
- If the registered address of the venue is used and no Virtual Office agreeement is taken out, the deposit will be held and the customer will be charged £60 + VAT for each month the registered address remains unchanged. We reserve the right to deduct this from the deposit.
After the end of your licence agreement term, your company could recieve post to the venue if suppliers/contacts haven’t been updated. If this is likely to happen we advise you take a Virtual Office package so we can handle your mail – you can sign up here
Any post recieved without a Virtual Office package in place will be returned to sender/Royal Mail.
